It is with great pleasure and excitement that myself and Gareth share some news with you today. We are delighted to inform you that Kairos has been acquired by Teamworks, the renowned leader in the sports industry.

As an international rugby player, I was always fascinated by ways that I could improve my offering for the teams that I represented. One of the most significant issues I encountered was the distraction caused by multiple WhatsApp groups, emails, and whiteboard appointments. I was always concerned that I’d missed some vital piece of information! 

High-performance athletes are spikey! They’re very good and passionate about one thing and that’s performing! So…. let’s find a way to allow them to just worry about the game at the weekend!!

While we’re at it, let’s allow staff and coaches to deliver key information and updates to players in an efficient way and give them the assurance the information has been engaged with.

A compelling thesis behind Kairos was established, and Gareth and I went to work building the solution.

When we launched Kairos to the English football market in 2021, we quickly began working with some of the biggest sports brands. We discovered additional intangible benefits Kairos users were experiencing, including increased accountability and an improved team culture. We continued to iterate the product at pace with an amazing team Headquartered out of Belfast, Northern Ireland. Our whole team became experts at intimately understanding the environments of pro teams.

Although we didn’t realize it, from 2021 onwards, Kairos was already partnering with Teamworks. We were collectively informing pro sports teams worldwide that a dedicated communication solution was a ‘must have’ to harness high performance. Together, Kairos and Teamworks now work with the vast majority of teams in the most significant leagues in the world, learning together as the needs of teams constantly evolve.

The acquisition by Teamworks is a very exciting opportunity to join forces with one of the biggest companies in sports tech and ultimately impact the offering to benefit the broader market. Joining forces with Teamworks will open up unparalleled opportunities for growth, innovation, and more overall impact. Their extensive knowledge and strong industry presence will empower us to amplify further the value we deliver to our customers and partners. Together, we will continue shaping the future of sports technology and revolutionize the way professional sports teams operate.

In 2023, our mission to revolutionise the world of Team Operations and Communication was inspired by helping elite teams secure wins and achieve success day in, day out. With a primary emphasis on innovation and fostering alignment, our goal to empower athletes and staff globally through Kairos came to fruition.

Need for Speed… 💨

This year, we added two new data storage hubs to our system. One in North America and the other in Australia. The impact? Our users, particularly those in the US and Canada gained a significant increase in upload and download speeds. While it improved the speed of the overall platform, file attachment speed in our messenger feature was recognisably the biggest change.

Big Time Champs 🏆

For the first time, we had Ryder Cup Champions and Rugby World Cup Champions who were actively using the Kairos system at the same time…but that’s not all.

Surrey County Cricket became back-to-back County Champions, the New England Free Jacks secured their First Major League Rugby Championship title, Dublin GAA won the 2023 All-Ireland Gaelic Football Final, Aston Villa FC secured European Football, Newcastle United secured Champions League Football, and both Luton Town and Sheffield United achieved promotion to the Premier League. These are just some of the highlights of the many achievements our users made across 2023!

Notably, we brought some new features into the mix this year:

While we added 20+ new features, we continued to upgrade the main pillars of Kairos: our schedule, survey, messenger and travel features so that they continued to evolve with our users’ needs.

We haven’t quite created a feature to go back in time, but we know for a fact that we save over 75% of our staff users globally over 100 hours of time per year… that’s at least 2 hours per staff member per week!

What does this mean?
Operations staff have more personal time, time to catch up on a TV series or check-in with family and friends and more professional time to focus on the things that really matter. We know how operations staff have a huge responsibility and are expected to have all the answers for all stakeholders in their club or team. With Kairos, they are guaranteed to have one source of truth to support them throughout the busiest of times, removing the need for many of the questions they are met with each day…

We had the pleasure of headline sponsoring Training Ground Guru Live and Leaders In Sports: Performance Summits.

Attending the NBA Summer League Expo and Major League Baseball Winter meetings were high on our list too.

Throughout it all, our customer success team were busy visiting users at their training grounds. Ensuring all users are optimizing how they use Kairos, and that our system is working effectively for those individuals and their club. 66 new logos joined our system this year, with over 140 teams aligning their Team Operations & Communications through Kairos.

This wouldn’t be possible without our Customer Success team who provided around the clock support for customers and increased our team’s presence in key regions. Our incredible team worked alongside engineers to ensure quick closure of all raised tickets.

Introducing: Kairos TV

Our latest product, Kairos TV, is already revolutionising the world of Elite Sport!

Kairos TV is a revolutionary new product which allows teams to share schedule information, announcements, messaging and both video and imagery on the screens within their training ground, stadium or hotel. While Kairos TV has recently been rolled out among key teams competing in major competition, we’re delighted to announce its official release. 


With this latest release, Kairos has responded to a sea-change in how training grounds operate and how staff communicate to players. Through Kairos TV, admin users will scan a QR code, bringing their live schedule, video and any other rolling announcements to a digital screen in any location. Meaning every TV can display unique schedules and information, relevant to that particular team or area.

In alignment with the user-experience of Kairos generally, administrators can create their own theme, build their own layout and customise each TV to display whichever schedule is the most relevant to that particular screen. Kairos TV allows content to be shared, announcements to be made and live changes to consistently be displayed.

Rugby Australia and Super Teams to Centralise Scheduling and Communication with Kairos

Rugby Australia and the Australian Super Rugby teams have chosen to utilise Kairos to centralise their operations and communication across their various teams and programs for the coming years. Kairos will be used from Super Rugby academies right the way through to the Wallabies & Wallaroos in what is shaping as an extremely exciting period for Australian Rugby with the 2023 Rugby World Cup in France, the 2025 Lions tour and the home World Cup in 2027. Alongside this, the Super Rugby teams are competing in the renewed Super Rugby Pacific competition against their New Zealand counterparts as well as the Fijian Drua and Moana Pasifika teams.

Kairos will be used to streamline all aspects of player and staff administration including schedules, appointments, messaging, document sharing and all other elements that make up the day-to-day running of teams either in season, in-camp or within tournaments.

Running a successful youth academy is hugely challenging… 

Operations staff are in charge of streamlining safeguarding processes which can be complex and time-consuming. With recurring events at the core of what makes the schedule feature so productive, having attendees update their responses for each event increases player accountability while simultaneously granting coaches the ability to plan ahead for the exact number attending that session.

MESSENGER 💬

Instant messaging on WhatsApp or iMessage is great, it helps build those 1-1 relationships that contribute to the communication flow in teams ahead of training or game-day. But, is it really professional to engage with parents, guardians or club members on an unauthorized platform, not built for the nuances of elite sport? 

Kairos messenger facilitates group communication, individual communication and perhaps most importantly, staff communication. Keeping the operations team behind the team focused and on task.

Did we mention you can schedule messages? Ensuring they are delivered to the relevant stakeholders at the right time, in the right setting. 

NB: Those on the receiving end will never know you really sent the message at 9pm (we’ll keep this between us!).

FILE SHARING 📁

Collaboration is integral in the planning processes of elite sport. Whether it’s the operations team behind the team, or the team itself. 

Operations and coaching staff can store and share critical files like videos, PDFs and player information through our file sharing feature. The functionality of this feature has a strong link to our privacy settings, you choose who can access what files. 

It should be noted though, files are viewable and easily accessed all year round whether it’s on iPad, desktop or mobile. You can forget the dreaded WeTransfer link and our personal favourite – the WhatsApp scroll, desperately searching for that file we all know you should have saved and favourited. 

SURVEYS 📝

Surveys, surveys everywhere…

Operations staff often liaise with all performance based staff to distribute surveys to players and parents/guardians to ensure seamless collaboration and inclusion across all departments.  It becomes difficult to prioritize deadlines while simultaneously remembering all the information that needs to be submitted at that exact moment to ensure the survey’s success for that specific department.

What sets the Kairos survey feature apart? While it’s great you can set deadlines for surveys, you can set reminders too. For those ‘we’ll do it later’ users… simply set a reminder for the recipients, a week, a day and hour before the due-date and we take care of the rest. And, for the users who pride themselves in getting things done, surveys can be left open to modify responses should requirements or answers change ahead of the deadline.

James Young, Head of Analysis and Data at Sunderland AFC acknowledged the utility in surveys across multiple departments when leveraging different age groups under the one club, “We’re getting regular surveys out to players of every age from first team down to academy”.

SECURITY 🔐

Did you know, using tools like WhatsApp grants users the ability to forward sensitive messages, videos or attachments to other contacts? 

The lack of audit trail means information is easily lost, causing fragmentation across teams and clubs as an extension. Losing control of who sees what, and who sends what to whom means that information is easily lost. Through encrypted cloud technology, all your information is secure and protected. Kairos is ISO 27001 certified, meaning that every possible action has been taken to make sure that the highest standards are met.

If necessary, you can track messages which allows for a clear audit trail of communication. You can even control who views, accesses or changes your documents helping your players and staff have one source of truth. In short, the operations staff have greater ownership over their internal operations and communications.

The Tall Blacks are one of 32 countries heading to the FIBA World Cup in August, which is basketball’s pinnacle sporting event on the world stage. This will be the 7th time the Tall Blacks have qualified for this prestigious event, where they will aim to recapture the magic of their 2002 run – led by now-head coach Pero Cameron – when they finished an incredible 4th best in the world.

It can be daunting for operations staff to consider, never mind implement new technologies. The pressure on the decision maker increases when the environment is an elite sports organisation, with so much at stake. Operations staff have to consider how the software might be received and embedded into an organisation that different platforms and software both old and new, already exist in – and that’s not to mention the stakeholders involved: players, coaches, and performance based staff.

Premier League powerhouse, Aston Villa, were no different in their quest for efficiency with team operations as they looked to streamline internal communication processes on one central platform that came equipped with team administrative and management capabilities. Resultantly, they joined Kairos – the market leaders within English Football, a platform solely focused on providing a solution to team communications and operations.

They already had well embedded systems and processes that were being used daily to successfully communicate all the moving parts of the organisation to the team, staff and directly to players so that everyone had the information they needed to perform their role effectively.
